Permit Type
The Permit Type page provides a series of frames, or attributes, that let you create and maintain the types of permits your municipality uses.
Use the Attribute drop-down field to select the type of information to view for the selected permit type.
The available attributes are General, Detail, Inspections, Application Checklists, Jurisdiction, Notifications, User-Defined Fields, Parcel Data, Contractor Licensing Requirements and Contractor Data.
The attribute selected determines the information that displays in the frame at the bottom of the page. Click in the field, or use the arrow keys on your keyboard to cycle through the list of attributes.

Code | Required. Code identifying the permit type. The entry may contain 16 characters. |
Description | Required. Textual description of the permit type. The entry may contain 32 characters. |
eSuite Description | Separate description that displays in ePermits only. If you leave this field blank, the standard Description displays in ePermits. |
Active |
Tells whether the permit type is active. A checked box means active. A permit type may be changed from active to inactive only if none of the permits of the type selected are active. |
Category | Permit type category. The available options are Residential, Commercial and Other. This field is disabled if a permit has been issued. |
Master Permit Type | |
Allow Manual Entry of Permit Number | Tells whether permit numbers may be entered manually. A checked box means yes. |
Counter Group | Tells which counter group to use for the selected permit type. |
Issue Temporary Certificate of Completion |
Tells whether a temporary certificate of completion, such as a Temporary Certificate of Occupancy, is issued for this type of permit. Checking this box enables the Temporary Certificate of Completion Format and Maximum Days to Complete from Issue Date fields. |
Issue Final Certificate of Completion |
Tells whether a final certificate of completion, such as a Certificate of Occupancy, is issued for this type of permit. Checking this box enables the Final Certificate of Completion Format field and disables the Allow Inspector to Complete Permit with Final Inspection field. Unchecking this box enables the Allow Inspectors to Complete Permit with Final Inspection field. |
Allow Inspector to Complete Permit with Final Inspection |
Tells whether inspectors automatically may update the status of a permit to Completed on completing the final inspection required for the permit. This field is enabled only when the Issue Final Certificate of Completion box is unchecked. |
Default Days to Expire |
Number of days after the issue date a permit of the type selected may remain open before it expires. |
Extend Based on Permit Activity |
Determines whether to extend permit automatically by the Default Days to Expire when a related activity, such as an inspection, occurs. This box remains disabled until you type a number in the Default Days to Expire field. |
Enforce Inspection Dependencies |
Controls how the system responds when inspections do not follow the defined dependency levels; for example, all inspections of a certain dependency level need to be completed before inspections of a greater dependency level are allowed. Do Not Check–Allows users to schedule and complete inspections even when dependency levels are defined. Give a Warning–Allows users to schedule and complete inspections when dependency levels are defined, but displays a warning message alerting users that the inspection will occur, although a dependency exists. Do Not Allow–Prevents users from scheduling and completing inspections when dependency levels are defined. See Inspections for more information on using this feature. |

Application Required |
Tells the type of application required. The available options are None, Formal Application and Informal Application. Selecting Formal Application enables the Number Separately from Permit, Issue Application Approval Form and Allow Manual Entry of Application Number check boxes and checks Number Separately from Permit. Selecting Formal Application or Informal Application adds Application Checklist to the Attributes drop-down. |

Enabled if Application Required is Formal Application, determines whether different numbers are assigned to the application and permit. Checking Application Required disables this check box. |
Allow Manual Entry of Application Number | Enabled if Application Required is Formal Application, determines whether the application numbers may be entered manually. |
Issue Application Approval Form |
Determines whether a form letter is generated to notify external parties when the permit application has been approved. Checking this box enables the Application Approved Form Letter Format and Application Denied Form Letter Format fields. |

Application Approved Format |
Enabled only when the Issue Application Approval Form box is checked, identifies the form letter format to print when permit applications of this type are approved. This field is populated based on the documents that are added on the Documents frame. |
Application Denied Format |
Enabled only when the Issue Application Approval Form box is checked, identifies the form letter format to print when permit applications of this type are denied. This field is populated based on the documents that are added on the Documents frame. |
Use Barcoded Permit Form | Determines whether a bar-coded form is used. Checking this box enables the Payment Code field. |
Payment Code | Enabled and required when Use Barcoded Form is checked, contains the payment code to use when a bar-coded form is used. |
Temporary Certificate of Completion Format | Enabled and required only when the Issue Temporary Certificate box is checked, identifies the format of the Temporary Certificate of Completion. |
Final Certificate of Completion Format | Enabled and required only when the Issue Temporary Certificate of Completion box is checked, identifies the format of the Final Certificate of Completion. |
Email Address | Holds the back office email address to which notifications are sent when permit payments are made from ePermits. Different email addresses may be used for different permit types. Hovering over the field also displays a description of the field. |

Use the Detail frame to select the fees that should be associated with the selected permit type. Fees associated with this permit type are displayed in a grid on the bottom-half of the frame.

Permit Minimum Amount | Minimum dollar amount charged for this type of permit. |
Permit Cash G/L Account | Required. Identifies the general ledger account used for the debit (cash account) entry when permits of this type are paid. |
Require Note: If fees exist for any field in the Require section, the check mark is disabled so that fees cannot be added. |

Estimated Improvement Value | Determines whether the estimated improvement value must be included when permits of this type are created. |
Assessed Property Value | Determines whether the assessed property value must be included when permits of this type are created. |
Improvement Square Footage | Determines whether the improvement square footage must be included when permits of this type are created. |
Contractor Bond |
Determines whether a contractor bond is required and, if required, the bond amount or percentage of the improvement amount. The available options are None, Flat Amount and Percentage of Improvement Value. |
Amount | Displayed and required if Contractor Bond is Flat Amount, the amount of the bond the contractor must have to be issued a permit of this type. |
Percentage | Displayed and required if Contractor Bond is Percentage of Improvement Value, the percentage of the improvement amount the contractor must have retained in the form of a bond to be issued a permit of this type. |

To associate a new fee with the permit type, click the Add button. The Add Permit Fee pop-up opens.
The drop-down of the Fee field contains all of the fees that have been set up as permit-type fees in Fees Maintenance.
The Sequence number, the order in which the fee is to be collected, must be unique per selected fee.
If the fee is required for the selected permit type, check the Required box.
To edit a fee, click the hyperlinked Code in the grid. The Edit Permit Fee pop-up opens.
To save the fee and the fees grid, click OK.
To remove a fee from the grid, select it, and click the Remove button.

Use the Inspections frame to manage inspections associated with permit types.

Inspection Type | Type of inspection required for the permit type. This entry is hyperlinked. Clicking the hyperlink opens the Permit Type Inspections pop-up. |
Required for Temp Cert of Completion | Displays a green check mark if an inspection of this type is required to issue a Temporary Certificate of Completion. |
Required for Final Cert of Completion | Displays a green check mark if an inspection of this type is required to issue the Final Certificate of Completion. |
Completes Permit | Displays a green check mark if an inspection of this type completes the permit. |
To create a new permit type inspection, click the New button; to edit an existing permit type inspection, click the hyperlinked Inspection Type. In both cases, the Permit Type Inspections pop-up opens.


Use the Application Checklists frame to define and assign the checklists associated with each application.

Application checklist currently in view. The drop-down lists all checklists that have been created for the selected permit type. During an add, the field is populated with <New> until the name of the new checklist is saved. |

Required for Temp Certificate of Completion |
Determines whether an inspection of this type is required prior to the issuing of a Temporary Certificate of Completion. This field is enabled only when Issue Temp Certificate of Completion is selected on the General frame on the Permit Type page. |
Active | Determines whether the checklist is being used. |

Responsible Department | Department responsible for the application checklist. |
Responsible Employee | Employee assigned to complete the application checklist. |
To create a new checklist for a selected permit type, click the New button; to edit an existing checklist, click the hyperlinked Activity. In both cases, the Application Checklist Activities pop-up opens.

Responsible Department | Visible and required if Internal Activity is selected, department responsible for the activity. |
Responsible Employee |
Visible if Internal Activity is selected, employee responsible for the activity. If you are not licensed to the Human Resources System, this field displays as a validation. If you are licensed, it displays as a promptable drop-down. |
The following frames contain multi-select list boxes:

Use the Jurisdiction frame to define and maintain the jurisdictions associated with the permit type.
Move the appropriate jurisdictions from the Available Jurisdictions list box to the Selected Jurisdictions list box.
Note: A Save will not occur if any jurisdiction in the Available Jurisdictions list box is associated with a property that has a permit of the selected permit type issued to it.

Use the Notifications frame to define and maintain the notifications associated with the selected permit type.
In the Notification Type field, select the type of notifications users will receive. Available options are Permit Completed, Application Submitted, Application Approved, Application Denied, Permit Issued, Permit Temporary Certificate of Completion Issued, and Permit Final Certificate of Completion Issued. The default selection is Permit Completed.
Move the appropriate users from the Available Users list box to the Selected Users list box.

Use the User-Defined Fields frame to select the user-defined fields (UDFs) to associate with the selected permit type.
Move the appropriate UDFs from the Available User-Defined Fields list box to the Selected User-Defined Fields list box.

Use the Parcel Data frame to define and maintain the parcel information associated with the selected permit type.
Move the appropriate parcel information items from the Available Parcel Information list box to the Selected Parcel Information list box.

Use the Contractor Licensing Requirements frame to define and maintain licenses issued outside of the municipality.
In the License Type field, select the type of license. The available options are Locally Issued and Contractor. The default selection is Locally Issued.
From the Available License Types list box, move the license types to associate with the selection in the License Type field to the Selected License Types list box.

Use the Contractor Data frame to define and maintain the contractor information associated with the permit type.
Move the appropriate contractor information items from the Available Contractor Information list box to the Selected Contractor Information list box.
